More time, less noise: Finding balance in people-led business
Running a micro business or managing a neighbourhood coworking space doesn’t fit into a tidy job description especially a people-led business.
One minute you’re deep in planning, the next, you’re tracking down an HDMI cable or figuring out who prefers oat milk. This is hands-on, people-first work, real, human and often demanding.
When your business is built on human relationships it can feel hard to bring in systems without losing your personal touch. But over time, I’ve learned that combining intentional connection with the right smart tech tools has been one of the most sustainable shifts in how I work.
This isn’t about using tech for the sake of it, it’s about finding balance, the kind that gives you energy back and lets you show up in your business with clarity and focus.
Small systems, big difference
On the Powering Productivity podcast I’ve had the chance to speak with operators and business owners across the UK, Ireland and beyond about how they balance meaningful work with the practical day-to-day.
Leah Fairman from Connected Hubs Ireland shared how automation allows her to focus on community-building:
“People expect digital ease, but they also want to know someone’s there when it matters.”
Stephen Carolan, also from Connected Hubs, talked about how their national platform helps coworking spaces collaborate across regions without losing what makes them locally rooted.
At The Hub Newry, these small tools have been game changers in our people-led business:
- Calendly simplifies scheduling
- Flodesk handles email flows
- Xero takes care of our accounting quietly in the background
- ChatGPT & AI aiding with so much such as helping me with that first draft or bones of a strategy plan right through to suggesting what I should focus on, prioritising and productivity hacks.
As Benjamin Carew of Othership put it on the podcast:
“Tech should reduce friction, not create more of it. It’s there to support relationships, not replace them.”
When used with intention, tech creates space for presence, clarity, and connection.
🤝 Human connection still leads
No piece of software can spot the quiet struggle behind a smile or offer a timely word of encouragement.
As coworking advocate Bernie Mitchell said in our conversation:
“The systems create space for trust, but they can’t build it for you.”
That’s stuck with me.
Because especially in neighbourhood coworking spaces, trust is built one interaction at a time in how we listen, how we respond, and how we make people feel seen.
Your welcome email might be automated. But it’s the follow-up chat that builds belonging.
What balance looks like for me
Here’s how it plays out in my own week in my people-led coworking business:
- Calendly handles bookings, but I always send a follow-up myself
- I delegate accounts and financials so I can focus on coaching and community support but Hubdoc and Xero are fab at keeping on top of receipts, invoicing & payments.
- Flodesk runs behind the scenes, but I send personal check-ins
- Asana keep me on top of my multiple projects & to do lists & it’s fantastic for moving schedules around depending on priorities, energy & time.
- I design my days for presence, not just productivity
- I’m currently running a data projects to see exactly what apps / software I use; what I’m actually using them for and then to see if I can consolidate and simplify into less apps.
It changes with the seasons and evolves with the landscape but the goal stays the same:
👉 Do less of what drains me and more of what makes the work meaningful.
A few reflection questions
If you’re carrying a lot right now (and let’s face it many of us are), try asking yourself:
- What could I delegate, automate or drop?
- Where am I stuck in habit instead of intention?
- What kind of tech suits how I actually work?
- Where do I want to spend more of my energy?
You might be surprised what shifts with just one small change.
